Plan International Cameroon is seeking to recruit interested candidate to fulfill the position of Sponsorship Assistant based in Bamenda Program Unit that will deliver the tasks outline below:

ROLE PURPOSE

·Facilitate the day-to-day and smooth running of the Sponsorship Unit in the Program Units.

Dimensions of the Role

Manages all Sponsorship related issues in the Program unit.

Accountabilities

Contributes to the effective management of PU caseload with an assignment rate above 85% and a 70:30 girl /boy ratio in favor of girls.
Prepares the PU yearly green sheet.
Ensure quarterly and monthly sampling and verification of key sponsorship communication items for authenticity (WGCs, cancellation for relocation, SCR and SGRs),
Work with PUMT and CAs and PSAF to produce annual strategy and plans for the production of SCUs alongside distribution of SCs token and CD letters.
Work with PU taskforce for the production of CD letters of appreciation on a yearly basis, this include identification, purchase and distribution of CD letter and token.
Plans with PUMT, CAs and PSFs key agenda for the yearly celebration of day of volunteers and make available all necessary items needed for such celebrations to the CAs and PSAFs.
Manage SC status change reports on a weekly basis with tracked update report shared with CO.
Managing/ monitoring all NOIs for the PU with the help of emails and Excel Sheet.
Assists PSAFs/CAs in effective coordination Sponsor’s visits and submits reports to the SPC/PUM.
Ensure availability of office supplies to CAs/PSAs and manages Sponsorship running cost PO at the PU level.
Consolidate weekly plan versus actual production for CAs/PSAFs and reports to PUMs for monthly evaluation of CAs/PSAFs in the Sponsorship area.
Reviews SCCDR from CAs/PSAFs and validates before submission for approval by PUM. Also responsible for the random physical verification of SCCDRs for all CAs/PSAFs in the PU and submit detailed reports each quarter.
Review all cancellations requests submitted for the current month retains them for complete physical verification early the next month before submitting to the PUM for signature and onward transmission to the DOS office early next month. (The SPA must visit cases of death, voluntary withdrawal in order to confirm this information before sending cancellation to the DOS office.).
Ensure the filing of active SC documents and cancelled files are updated on a monthly basis.
Responsible for tracking all home visit reports by CAs/PSAFs and submitting a detailed Home Visit Reports for at least 50 SC’s per CA/PSAF per month.
After cross checking, submits all communication items to DOS office with transmittal list with quality control sheet attached and keep records. Ensures this same process is followed by CAs and PSAFs.
Tracking of community benefits to ensure all sponsorship communities benefits from at least 01 project from Plan on a yearly basis
Responsible for distributing all sorted communication items: To-Do-List, unusables and follow up with CAs to prepare cancellations and replacement due NO request within the same month..
Assists PSAFs/CAs in the capacity building of community Volunteers through training and coaching as need arises.
Ensure all memories cards received from CAs/PSAFs effective contain corresponding photos, are properly managed and submitted to DOS office.
Ensure efficient filing of SC folders at the PU office.
Update hard copy of office based Sponsorship manual and equally update staff on updates based on Sponsorship updates received from the SPC and or SSM.
Participates as a member of the PU taskforce for the production of area documents (PAOs, PAUs, GMSC and CMSC etc.) for the PU and ensures first level control prior to submission to the Sponsorship Coordinator.
Ensures respect of Plan’s Child/Youth safeguarding and Protection Policy throughout all sponsorship activities, processes and documents at PU level.
Carry out any other task assigned by the Supervisors (PUM/SPC.)
Ensures that Plan International’s global policies for Child Protection (CPP) and Gender Equality and Inclusion (GEI) are fully embedded in accordance with the principles and requirements of the policy including relevant Implementation Standards and Guidelines as applicable to their area of responsibility. This includes, but is not limited to, ensuring staff and associates are aware of and understand their responsibilities under these policies and Plan International’s Code of Conduct (CoC), their relevance to their area of work, and that concerns are reported and managed in accordance with the appropriate procedures.

Technical expertise, skills and knowledge

 

Essential

Qualification and Experience

BACC/A/Level
Minimum of 4 years of previous work experience in Sponsorship
Computer literate

Desirable

Knowledge

Seen as a source of development expertise, and proactive in sharing knowledge and advice
Good knowledge of data management software ( (EXCEL, Power Point, Word)
Understands Plan’s work, and implements processes and practices that support achievement of Sponsorship objectives.
