Required Documentation
The proposal must include the following items:
• Up-to-date administrative and legal documents (Tax ID, Trade Register, Professional Tax
certificate, ID of legal representative, Bank attestation).
• Company profile and references for similar supply contracts.
• Delivery timeline (must not exceed 2 working days).
• Packaging: Items must be New not refurbished and delivered in original sealed packaging where applicable.
• Payment terms: Net 30 days, with no advance payment.
• Warranty/quality assurance for applicable items (e.g., ink cartridges, calculators).
• Product expiration dates should be at least 12 months where applicable.
EVALUATION
Offers will be evaluated based on the following weighted criteria:

Administrative Compliance (25%)

Submission of valid registration and fiscal documents-(15%)
•
Minimum 03 evidence of past executed contracts with samples/photos (10%)

Technical Conformity (30%)
•
Compliance with specifications (15%)
•
Warranty and after-sales service minimum 12 months where applicable(10%).
•
Delivery timeline (Maximum 2 working days) (5%)

Financial Evaluation (45%)
•
Price competitiveness (20%)
•
Payment terms (10%)
•
Capacity to deliver (stock availability, logistics) 10%
•
Financial stability: Evidence of solvency (5%)
NB: Physical Samples of each product will need to be provided by the potential awarded vendor before finalization of the purchase.

Issuance of the solicitation does not constitute an award commitment by FHI 360

FHI 360 reserves the right to disqualify any offer based on failure of the offeror to follow solicitation instructions

FHI 360 will not compensate any offeror for responding to solicitation
•
FHI 360 reserves the right to issue award based on initial evaluation of offers without further discussion
•
FHI 360 may choose to award only part of the activities in the solicitation, or issue multiple awards based on the solicitation activities
•
FHI 360 has the right to issue amendments to the RFQ at any time
