Position Title: Admin/Fin Assistant
Reports to: Officier de Base
Duty station: Bamenda and Buea
Type of contract: Fixed Term
Duration of the contract: 06 months
Availability: July 2023
Missions and Responsibilities
• Manage project accounting and coordinate with administrative staff / Fin.
• Responsible for the administration of cash accounts, ensuring compliance with existing procedures; shortages or thefts must be reported, yet jointly signed by both the Country Administrator and the Head of Mission.
• Update the economic and financial situation of the base and projects, in terms of expenditure, credits, cash flow and available liquid assets.
• Verify interim and final financial reports and submit them to the Officier de Base, Project Manager and Country Admin for approval.
• Be responsible for the base's financial-administrative documents and all ended project documentation.
• Maintain a filing system for physical and electronic documents.
• Ensure compliance with the procurement validation circuit.
• Ensure the payment of all invoices under the supervision of the Officier de Base and the Country Administrator.
• Monitor base operating costs.
• Support the Officier de Base during donor audits.
• Thoroughly check and process all accounting vouchers in his/her possession.
• Keeping the cash books, ensuring that each item of expenditure is recorded in the corresponding book and that expenditure is broken down by budget heading and project coding. • Keeping the bank book, tallying and monthly bank reconciliation.
• Checking the monthly accounting package and sending it to the Officier de Base.
• Carrying out any other tasks not listed, at the request of the hierarchy/Head of Mission, Project Manager, Country Administrator.
• Provide support to HR Depts in the management of personnel files and documents relating to national staff. (Contracts, filing, monitoring......).
• Signing and archiving: Attendance sheet, purchase request, - contracts - cover page, etc.
• Keep administrative records in an orderly manner.
• Carry out all tasks relating to incoming and outgoing mail (drafting, sending, receiving, photocopying, filing, etc.).
• Monitoring of collaboration agreements with medical structures and monitoring of declarations
with government departments.
• Submitting weekly accounting reports and supporting documents to the project managers.
Job Requirements
Education •The ideal candidate should have at least the bachelor Degree in accounting or all equivalent diplomas
Experience • 02 Years Minimum experience in a similar post.
• Experience with projects funded by donors
• Experience in Financial Reporting
Language English and Pidgin, knowledge of French is considered an asset
Knowledge Mastery of the computer tool MS Office Complete environment, Demonstrable skills in the development of finance and accounting policies, procedures, and systems in the context of an international NGO, Good knowledge of fund accounting
