Overview

Shwari Health Cameroon is a locally registered organization with a vision to ensure the provision of quality, effective and innovative evidence-based solutions to address health systems challenges within the Health sector in Cameroon and beyond with a special focus to children and adolescents. To achieve this, Shwari Health Cameroon uses proven community strategies to identify HIV infected children and adolescents , refer them to health facilities for initiation on treatment , support and accompany them through treatment to ensure they remain in care and achieve viral suppression. Our mission is to be one of the most sought-after implementation science association in Cameroon that uses evidence-based strategies to effectively cover the ‘Know-Do’ gaps in the provision of health services. We aim to achieve this through the application of modern evidence generation and synthesis methods to understand operational contexts so as to devise strategies that could make the implementation efforts more effective and efficient. We are constantly expanding our expertise to ensure that our pooled experience is adequate to be responsive to the changing needs in health service provision. Our team has in depth knowledge and experience in working in the Cameroon local healthcare system, at all levels from community to policy making at national and subnational levels. By applying different innovative approaches such as multisectoral collaborations, data analytics and Continuous Quality Improvement, we have been able to understand organizational processes and barriers to effective implementation of various community interventions aimed at improving access to health services by children and adolescents.

 

Position Title: Admin and Finance Officer

Reports to: Shwari Health Cameroon Program Director

Location of Work: Center Region

Number of positions: 1

Position Summary: This position performs a variety of general administration and finance support tasks within the program’s operation and finance unit.  S/he will also be responsible for providing administrative support, as well as accounting services, for ensuring internal sound control, financial reporting, training, and providing advice and support to relevant stakeholders within a comprehensive financial management structure, which is related to all operations of the program cycle. The Admin and Finance Officer will be responsible for all accounting and finance matters and ensure accuracy of all financial reporting. 

 

 

Job specific duties and Responsibilities

Administration

  • Monitoring and maintaining office equipment and inventory supplies; orders replacement supplies as needed;
  • Scheduling company calendar and updating as needed;
  • Preparing reports on expenses, office budgets, and other expenditures;
  • Supporting all staff on admin matters;
  • Coordinating office building and maintenance issues for general repair;
  • Organizing special functions and social events;
  • Handling general correspondence and preparing documentation or presentation materials as required for business purposes.
  • Diary management and arranging appointments, booking meeting rooms and conference facilities
  • Arranging both internal and external events
  • Possibly maintaining the company social media accounts
  • Ensure there is a Standardized filing system applied through the whole program /operations.
  • Develop a process to review the filing system (hard and soft files) on a monthly/quarterly basis.
  • Keep track of all admin documents including registration all internal & external correspondence and records updated.
  • Responsible for proper record keeping of programmed/operations admin activities.
  • Ensure good and clear communication, knowledge and information sharing mechanism with all staff.
  • Provide adequate administrative technical support to program and operations.

 

 

Finance

  • Verify the accuracy of invoices and other accounting documents or records.
  • Assist program staff to process travel and activities advances while ensuring that reconciliation is done in a timely manner and processing expense reports;
  • Ensure appropriate and accurate filling of records (physical and electronical) of all the financial documents and vouchers generated within finance department.
  • Ensure all finance rules and procedures are adhered to
  • Ensure timely preparation of financial reporting
  •  Monitor financial transactions 
  • Ensure payments of employees and other stakeholders dues
  • Prepare forecasts/budgets
  • Make financial projections
  • Make available records for auditing
  • Keep financial resources up-to-date for a review of performances    
  • Ensure compliance with legal & statutory requirements 
  • Keep a systematic record of all business transactions 
  • Determine the financial position of the organization
  • Provide information to various users of financial statement
  • Assist the management

 

Qualifications and Experience:

·       Bachelor’s Degree With At least 2 years of experience in a similar position in a reputable organization.

Or Bachelor’s Degree in accounting or Law (ACCA or CPA will be an added advantage) with a minimum of one-year post qualification experience (working experience with International Organization will be an added advantage)

·       Basic understanding of donor operations particularly USG will be an added advantage.

·       Good understanding of administrative procedures within a structured organization.

·       Assets and inventory management experience using automated tracking system is an advantage.

  • Must be computer literate with an experience in at least an Accounting Package; knowledge of QuickBooks accounting package will be an added advantage
  • Excellent knowledge of other computer software, MS Office, excel and power point
  • Must demonstrate a good understanding of Cameroon business environment
  • Must demonstrate excellent written and oral communication skills
  • Must be flexible and be able to work independently and as part of a team
  • Must demonstrate attention to detail and ability to multi-task
  • Must demonstrate ethical behavior when dealing with sensitive financial information
  • Must demonstrate high level of accuracy and efficiency
  • Ability to communicate in English fluently; ability to communicate in French will be an added advantage but not mandatory.
